By accessing and using the services provided by EcoHotel Plus™, you enter into an official agreement and consent to the following terms of use. This establishes a legally binding contract between the user and EcoHotel Plus™, emphasizing the commitment to uphold the specified obligations and responsibilities outlined herein.

 

This contract supports your legal and ethical duties to collaborate with EcoHotel Plus™ in a manner that aligns with our core principles of sustainability, data integrity, and intellectual property protection. Through this collaboration, you acknowledge and agree to maintain the highest standards of accuracy and accountability in using the EcoHotel Plus™ platform, ensuring that all actions are consistent with both legal obligations and our shared goals to reduce the environmental footprint of the hospitality industry.

 

Additionally, by consenting to these terms, you commit to an ongoing partnership with EcoHotel Plus™, diligently working towards the collective goal of a more sustainable and environmentally conscious hospitality landscape. This collaborative endeavor is reinforced by adhering to these terms, ensuring that our combined efforts significantly contribute to global sustainability initiatives and compliance with industry regulatory requirements.

 

Introduction

Climate change is a global issue, driven by the increase in greenhouse gas emissions in recent years. The hospitality industry significantly contributes to this trend due to increased water and energy consumption as well as waste generation associated with tourism. EcoHotel Plus™, a revolutionary online platform meticulously designed, comprehensively addresses these critical issues by providing hoteliers and hospitality businesses with an innovative tool for the systematic calculation, monitoring, and reduction of their hotels’ energy and carbon footprints, thereby promoting sustainable practices and compliance with environmental regulatory standards.

By leveraging advanced tools and integrated methodologies, EcoHotel Plus™ not only aids in enhancing energy efficiency but also ensures compliance with stringent environmental standards while meeting the evolving demands of environmentally conscious travelers. This ensures a sustainable future, enhances customer satisfaction, and boosts market competitiveness.

 

In summary, the EcoHotel Plus™ platform is a comprehensive system for measuring and monitoring the energy and carbon footprint of hotels. The platform calculates the total footprint by incorporating international methodologies and the guidelines of the Ministry of Environment (MOE) for the implementation of the National Climate Law (Law 4936/2022). Additionally, the EcoHotel Plus™ model, developed based on a 10-year doctoral research study, provides the capability for further analysis of results at the sector level (e.g., cooling, heating, etc.), beyond just calculating total greenhouse gas emissions. The EcoHotel Plus™ model achieves this analysis by relying on energy audits conducted and ongoing in various hotels, as well as using large-scale data statistical analysis methodologies.

 

 Specifically, with the EcoHotel Plus™ platform, the user can easily and quickly:

  • Calculate the hotel’s energy and carbon footprint (Scope 1, 2, and partially 3)
  • Analyze the footprint by sector
  • Calculate energy consumption and carbon emission indicators per overnight stay or per square meter
  • Benchmark the hotel’s footprint against reference indicators
  • Identify the most energy-intensive sectors and receive guidance on reducing the hotel’s energy consumption

 

Furthermore, EcoHotel Plus™ rewards hoteliers for promoting environmental management and adopting sustainable practices through three certification badges. Finally, the platform provides the option to offset the carbon footprint, enabling the hotel to become Climate Neutral.

 

Platform Features

Preliminary Energy Assessment: The platform offers a preliminary energy assessment service designed to identify the most energy-intensive areas of your hospitality business. This assessment utilizes both data inputs and industry standards to facilitate targeted interventions and prioritize energy-saving measures.

 

Energy and Carbon Footprint Calculation: EcoHotel Plus™ is designed to provide accurate calculations of the energy and carbon footprint associated with the operation of your hotel business. The platform uses advanced algorithms to analyze various data inputs, resulting in an accurate depiction of your property’s environmental impact.

 

Reduction Strategy Guidance: After calculating your business’s energy metrics in the hospitality sector, EcoHotel Plus™ provides guidance aimed at reducing both energy consumption and carbon emissions.

 

Compliance with the Climate Law: The EcoHotel Plus™ platform’s methodology has been validated based on the guidelines of the Climate Law, and the results it produces are consistent with its requirements.

 

Benchmarking and Performance Comparison: EcoHotel Plus™ allows hotel managers to compare their energy and carbon footprints against reference indicators of similar hotels. This capability provides invaluable insights into performance metrics, fostering a culture of continuous improvement and competitive benchmarking within the industry.

 

Carbon Footprint Offsetting: Recognizing the challenge posed by non-reducible emissions, EcoHotel Plus™ offers options for offsetting the carbon footprint. The platform provides alternatives with certified offset projects that comply with the United Nations Carbon Offset Platform standards.

 

Certification: By using EcoHotel Plus™ hotels can obtain the relevant certification label, highlighting their commitment to energy efficiency and environmental management. This certification serves as a testament to the hospitality business’s dedication to sustainability. Hoteliers are encouraged to display it prominently in areas visible to guests, enhancing their image as an environmentally conscious hotel.

 

The use of the platform, as well as the certification, can serve as a valuable marketing tool, allowing hoteliers to showcase their sustainability efforts on social media and other platforms, further promoting their eco-friendly image. Finally, it is noted that you consent to the use of your hotel’s name and logo in the relevant promotional activities carried out by EcoHotel Plus™  and the collaborating companies involved in its creation and promotion, which will showcase both the platform and your hotel.

 

Use Process

Data Entry: To calculate the hotel’s carbon footprint for each desired year, the user follows this process:

  1. Define the Reference Year: The user sets the reference year and begins the data entry process.
  2. Data Entry: The next step is the easy input of the hotel’s basic characteristics and operational data for the reference year (capacity, operating days, energy, fuel, water consumption, waste production, etc.).
  3. Footprint Calculation: The energy and carbon footprint of the hotel is calculated on an annual basis. The results include useful tables, charts, and indicators that facilitate drawing conclusions for both the entire hotel and its individual activities. The platform immediately identifies the hotel’s most energy-intensive areas and provides guidance for necessary reduction actions. The use of interactive tools allows users to explore the results by customizing reports according to their needs and priorities, encouraging easier understanding of the results and effective decision-making for emission reduction and improvement of environmental performance.

 

Creation of a Simplified Carbon Emission Reduction Plan: The platform enables the user to set the base year and create a simplified Carbon Emission Reduction Plan based on the goals set by the Climate Law. Specifically, according to Article 19, paragraph 1, certain hotels are required to reduce emissions by at least thirty percent (30%) by 2030 compared to the base year (2019 or later), relative to the appropriate product and project unit. The unit is defined by the platform as emissions kg CO₂e/overnight stay each year. The user can change both the fulfillment percentage and the carbon intensity per year and see live changes in the simplified plan. Additionally, for each year that calculations are made, the longitudinal expected results of actions and the improvement of the hotel’s energy efficiency will be recorded.

 

Carbon Footprint Offsetting (optional): Through the EcoHotel Plus™ platform, the option to offset the carbon footprint that can no longer be reduced is provided, thereby achieving the hotel’s carbon neutrality. For offsetting the carbon footprint, certified projects from the United Nations Carbon Offset Platform are offered, along with the corresponding certificate.

 

Certification Badge: By using EcoHotel Plus™ to calculate and monitor their energy and carbon footprint, hotels can annually obtain the appropriate EcoHotel Plus™ Certification Badge, which is offered at three levels:

  • Certified: The Certified level certification rewards hotels for taking their initial steps toward sustainability. Obtaining it requires calculating the environmental footprint for at least one year.
  • Gold: The Gold level certification is awarded to hotels that demonstrate a reduction in greenhouse gas emissions compared to the base year 2019 (or any subsequent year of completed operations), in accordance with the provisions of the Climate Law.
  • Platinum: The Platinum level certification is awarded to hotels that, in addition to calculating and reducing their energy and carbon footprint, proceed to offset emissions that cannot be further reduced.

 

The use of the badges must comply with the respective terms communicated to you upon acquisition. It is emphasized that the accurate input of data is the user’s responsibility. In any case, if the user wishes to obtain any of the badges offered by the platform, the Team, depending on the badge the Hotel wishes to obtain, follows the procedures outlined below:

  • Certified: The Team conducts a general accuracy check through specific indicators and manual work to avoid obvious errors that lead to results outside the expected range.
  • Gold/Platinum: The Team requests and verifies proof for both the base year and the reference year, such as the Special Operation Badge (ΣΕΛ), electricity and water bills, fuel purchase invoices, etc.

 

Use of Data

The processing of construction and operational data is carried out for the following purposes:

  • (a) Calculating all energy and carbon footprint results.
  • (b) Internal analysis and creation of anonymized statistics.

 

EcoHotel Plus™ will retain the hotel’s construction and operational data for as long as required to fulfill the purposes described herein, unless current legislation mandates or permits a longer period. The hotel’s operational data will be retained by EcoHotel Plus™ for internal analysis purposes and for creating anonymized statistics, even after the deletion of a property, the deletion of its account, or the termination of the user’s subscription.

 

Exclusive Intellectual Property Rights

The proprietary essence of the EcoHotel Plus™ platform, which includes the advanced software architecture, innovative algorithms, sophisticated design elements, logos, and the extensive content repository, constitutes the primary and exclusive intellectual property asset of EcoHotel Plus™ and its creators. By accessing the platform, users receive a limited, non-transferable license for its intended purpose under the highest level of proprietary protection and with appropriate care in safeguarding intellectual property rights.

Through their interaction with EcoHotel Plus™, users explicitly acknowledge and undertake a strict commitment to refrain from any action that may infringe upon the network of intellectual property rights and exclusive rights embedded within EcoHotel Plus™. This preventive commitment includes a categorical agreement not to reproduce, modify, distribute, disassemble, or engage in any form of unauthorized use of any element of the EcoHotel Plus™ platform.

 

Furthermore, by collaborating with EcoHotel Plus™, users expressly agree to respect and maintain the proprietary integrity of all copyrights related to the platform. This includes avoiding unauthorized use, reproduction, distribution, or modification of any proprietary material, trademarks, logos, patents, trade secrets, or any other form of intellectual property belonging to EcoHotel Plus™.

 

Any breach or illegality concerning the exclusive intellectual property rights and privileges of EcoHotel Plus™ may lead to immediate and decisive legal action, including but not limited to the enforcement of patents, trademarks, copyrights, and other legal protections. In the event of such violations, EcoHotel Plus™ reserves the right to pursue all available legal remedies to protect its intellectual property and ensure the ongoing integrity and exclusivity of the EcoHotel Plus™ platform.

 

Compliance and Continuous Improvement

EcoHotel Plus™ is committed to ensuring compliance with applicable regulatory requirements and international standards while striving for continuous improvement of its services. EcoHotel Plus™ is designed to fully comply with the guidelines and standards related to the measurement and monitoring of the carbon footprint.

  • Continuous Monitoring: The EcoHotel Plus™ team conducts ongoing monitoring for the issuance of new methodologies, requirements, and regulations, including the National Climate Law, ISO 14064 standards, GHG Protocol, and IPCC guidelines, ensuring that the platform is always up-to-date and responsive to the latest industry developments.
  • Annual or More Frequent Database Updates: The EcoHotel Plus™ team updates the database annually or more frequently if required, according to new versions of standards. This ensures that measurements and reports remain compliant with the latest regulatory requirements and best practices.
  • Capability to Update Equations: The EcoHotel Plus™ team has the ability to update and/or modify the platform’s calculation equations as needed, ensuring the accuracy, timeliness, and flexibility of carbon footprint calculations.

 

EcoHotel Plus™ recognizes that the field of measuring and monitoring greenhouse gas emissions is constantly evolving. To remain at the forefront of technology and provide the best possible services to its users, the platform adopts a continuous improvement approach that includes:

  • Software Upgrades: Regular updates and upgrades to the platform to incorporate the latest technological advancements and best practices. The EcoHotel Plus™ team reviews and plans to integrate artificial intelligence capabilities for data analysis, providing users with enhanced forecasting and trend analysis capabilities.
  • Training and Development: Ongoing training of the EcoHotel Plus™ development and support team on new standards, regulations, and methodologies for measuring and monitoring the carbon footprint.
  • User Feedback: Collection and analysis of user feedback to identify areas for improvement and develop new features that meet their needs.

The authority to review and modify the terms of use exclusively belongs to EcoHotel Plus™, allowing updates at its sole discretion and without time constraints. Users will receive immediate notification of any changes to these terms, ensuring a transparent process and full awareness of the modifications. It is imperative to emphasize that continued use of our services after the implementation of any changes constitutes the user’s explicit acknowledgment, acceptance, and compliance with the revised terms and conditions.

INTRODUCTION

EcoHotel Plus® is an innovative online platform/application accessible at https://ecohotelplus.com and https://platform.ecohotelplus.com. It provides suitable tools that help assess and manage the energy and carbon footprint of tourist accommodations and, in general, tourism infrastructures. Its methodology for Scope 1 and 2 emissions is validated according to Climate Law guidelines, with validation conducted by the certification body Eurocert. The platform contains flexible software and a database with energy and carbon footprint coefficients. By entering the required data, the software calculates, among other things: 1) the energy consumed in the tourism infrastructure per activity, 2) CO2 eq emissions per activity, and 3) useful energy consumption and CO2 eq emission indicators per overnight stay or per square meter of accommodation. Additionally, the platform provides the option to offset the carbon footprint where further reduction is not feasible.

One of our main priorities is the privacy of our visitors. This Privacy Policy document contains types of information collected and recorded by EcoHotel Plus® and how we use it.

The protection of individuals regarding the processing of personal data is a fundamental right. Article 8(1) of the Charter of Fundamental Rights of the European Union (“Charter”) and Article 16(1) of the Treaty on the Functioning of the European Union (TFEU) state that every person has the right to the protection of personal data concerning them. Furthermore, as of 25.05.2018, the General Data Protection Regulation (GDPR) of the European Parliament and the Council No. 2016/679 has been in force, introducing a stricter framework for the protection of individuals regarding the processing of personal data and the free movement of such data (hereinafter the “General Regulation”).

The protection of individuals concerning the processing of personal data is of utmost importance to EcoHotel Plus®. Therefore, the collection and processing of personal data by us is carried out in accordance with the General Regulation and applicable law, especially in relation to employment relations and the business activity of EcoHotel Plus®. The platform allows access only to authorized persons and implements enhanced data security measures to prevent loss, mishandling, unauthorized access, alteration, or disclosure.

 

KEY DEFINITIONS

The term “personal data,” according to Article 4(1) of the EU General Data Protection Regulation (GDPR), refers to any information relating to an identified or identifiable natural person (data subject), hereinafter referred to as “Personal Data or Data.” An identifiable natural person is one whose identity can be ascertained, directly or indirectly, particularly by reference to an identifier such as a name, identification number, location data, online identifier, or by reference to one or more factors specific to the physical, physiological, genetic, psychological, economic, cultural, or social identity of that natural person.

The term “Data Controller” of personal data, according to Article 4(7) of the EU General Data Protection Regulation 2016/679 (GDPR), refers to the natural or legal person, public authority, agency, or other body which, alone or jointly with others, determines the purposes and means of the processing of personal data. Where the purposes and means of such processing are determined by Union or Member State law, the controller or the specific criteria for its nomination may be provided for by Union or Member State law.

The term “processor” of personal data, according to Article 4(8) of the EU General Data Protection Regulation 2016/679 (GDPR), refers to a natural or legal person, public authority, agency, or other body that processes personal data on behalf of the controller.

The term “consent” of the data subject, according to Article 4(11) of the EU General Data Protection Regulation 2016/679 (GDPR), refers to any freely given, specific, informed, and unambiguous indication of the data subject’s wishes by which they, by a statement or by a clear affirmative action, signify agreement to the processing of personal data relating to them.

 

DATA PROCESSING

The data is processed for the following purposes: (a) Calculating all results of the energy and carbon footprint. (b) Supporting pre-contractual or contractual relationships and responding to your requests or communicating with you following your contact/application (such as for providing services, payments, collections, accounting checks, operational and IT support, execution, support, and monitoring of the contract, fulfillment of contractual obligations, etc.). (c) Establishing any legitimate legal claim or defending the legal interests of the website and the EcoHotel Plus® platform. (d) Creating anonymized statistics for both results and website traffic, in order to make improvements aimed at enhancing your browsing experience, conducting customer satisfaction surveys, and executing advertising or promotional campaigns. (e) Ensuring the company complies with legal obligations (tax, insurance, customs, accounting, etc.) and conducting compliance checks on business partners to prevent economic crimes while safeguarding its superior legal interests, such as the transfer of data to legal advisors or relevant authorities.

 

LEGAL BASES FOR PROCESSING

The processing of data is necessary for the fulfillment of the aforementioned purposes. Unless otherwise specified when collecting personal data, the legal basis for processing is one of the following:

(a) Processing is necessary for the execution of the contractual relationship with you.

(b) Processing is necessary for the purposes of legitimate interests pursued by EcoHotel Plus® and for its compliance with the law.

(c) You have given explicit consent for the processing of personal and non-personal data.

 

RECIPIENTS AND TRANSFERS

Third-party IT companies may manage our website and online platform/application, accessible at https://ecohotelplus.com and https://platform.ecohotelplus.com, as joint data controllers or processors. In such cases, we ensure through contractual terms and regular checks that if and when they have access to personal data, it is adequately protected by the relevant laws. The platform may transfer data to other subsidiaries or third parties, but only if and to the extent that such transfer is strictly necessary for the aforementioned purposes. It may also transfer data to judicial, administrative, tax, customs, arbitration authorities, or other public authorities, regulatory bodies, and legal advisors if necessary to comply with the law or to establish, exercise, or defend legal claims. Furthermore, it may delegate part or all of the above processing to third parties (processors), including their directors and employees, to parties contracted to promote our services, to provide mailing services, IT support services, record-keeping services, research services, advertising services, banking and credit institutions, certified public accounting firms, and to parties contracted with us to assess the creditworthiness of clients in fulfilling their contractual obligations, as well as to legal advisors and lawyers. In these cases, we ensure through contractual terms and regular audits that if they have access to data, they comply with data protection legislation. Recipients of personal and non-personal data may be located outside the European Economic Area. In these cases, the Company takes measures to implement adequate and appropriate safeguards for the protection of personal data, primarily through the use of standard contractual clauses from the EU.

 

 

LOG FILES

EcoHotel Plus® follows a standard procedure for using log files. These files log visitors when they visit websites. All hosting companies do this as part of their hosting service analytics. The information collected from log files includes Internet Protocol (IP) addresses, browser type, Internet Service Provider (ISP), date and time stamps, referring/exit pages, and possibly the number of clicks. These are not linked to personally identifiable information. The purpose of the information is to analyze trends, manage the website, track users’ movement on the website, and gather demographic information.

 

DATA RETENTION PERIOD

EcoHotel Plus® will retain personal data for as long as necessary to fulfill the purposes described in this policy, unless applicable law requires or allows a longer period. The Company will retain the hotel’s operational data for internal analysis purposes and for the creation of anonymized statistics, even after a property is deleted, its account is deleted, or the user’s subscription expires.

 

TECHNICAL AND ORGANIZATIONAL MEASURES

EcoHotel Plus® and the online platform/application, accessible from https://ecohotelplus.com and https://platform.ecohotelplus.com, effectively implement appropriate technical and organizational measures both at the time of determining the means of processing and at the time of processing. These measures, such as pseudonymization, are designed to enforce data protection principles like data minimization and to integrate necessary safeguards into the processing to comply with applicable legislation and protect the rights of individuals. The creation and operation are based on an ISO 27001 certified framework.

PRIVACY OF CHILDREN

EcoHotel Plus® is not intended for individuals under the age of 13. We do not knowingly collect personally identifiable information from anyone under the age of 13.
